The Complete Student Visa Guide: Documents, Timeline & Interview Tips
After securing your university offer letter, the visa application is the next critical step. Rejection at this stage can waste months and significant money. In our 15+ years of counselling experience, we have seen the same mistakes repeated. This guide helps you avoid them.
Step 1: Receive Your Unconditional Offer Letter
Do not start your visa application until you have an unconditional offer (all conditions like English scores, transcripts have been met). A conditional offer does not guarantee admission.
Step 2: Gather Your Core Documents
- Valid passport (minimum 18 months validity beyond your course end date)
- Unconditional offer letter from the institution
- Proof of funds (bank statements showing 3–6 months of required funds)
- IELTS/PTE/TOEFL scores meeting the university requirement
- Academic transcripts — Class 10, 12, bachelor's degree (certified copies)
- Statement of Purpose (SOP) — 600–800 words explaining your study choice
- 2–3 Letters of Recommendation (academic or professional)
- Passport-size photographs (check each country's specification)

Step 3: Financial Documents — The Biggest Rejection Reason
- Bank statements for the last 6 months (sponsor's account if parents are funding)
- Fixed Deposit certificates, property documents, or investment proofs
- If parents are funding: salary slips, ITR (Income Tax Returns) for last 2–3 years, CA-certified net worth statement

Step 4: Write a Strong SOP
The Statement of Purpose is your chance to explain WHY you chose this course, this university, and this country. Visa officers read hundreds per day — make yours specific, honest, and logical. Cover: your academic background → career gap (if any) → why this course → why this university → why this country → your plan to return or build a career. Avoid generic statements like 'I have always dreamed of studying abroad.'
Step 5: Submit & Track Your Application
Canada: Apply on IRCC online portal. Standard processing: 4–8 weeks. Australia: Apply via Immi Account. Processing: 4–6 weeks for most courses. UK: Apply via UK Visas and Immigration. Standard: 3 weeks. Germany: Apply at VFS Global / German Embassy in India. Allow 6–12 weeks.
Visa Interview Tips (USA & Some EU Countries)
- Be confident, direct, and honest
- Know your course, university, and city inside out
- Have a clear answer for 'why this country instead of studying in India'
- Show strong ties to India (family, job offer, property) — this proves you will return
- Never memorise a script — visa officers detect it immediately
